Terms and Conditions of Enrolment and Student Expectations - BTRPAA

Enrolment Period: Enrolment is simple at BTR. Your enrolment is ongoing until you state otherwise. A minimum of a Term’s enrolment is non-negotiable for customers who pay monthly. For customers who choose to pay annually, please note is expected that you are making a commitment for the full 12 months.

Lesson Fees: Lesson fees are calculated over a 38-week period. These lessons will be taught over a 40-week teaching year, taking into consideration Public Holidays. These fees are payable over a 12 month period. Monday students will be offered either an extra lesson or workshop to make up for one of the lessons falling on a 3rd public holiday. Your enrolment fees can simply be paid monthly or annually. Monthly fees will be direct debited from your Credit Card or Visa Debit Card through My Music Staff/Stripe. This will be set-up upon enrolment with us.

Registration Fee: Upon enrolment an annual registration fee is payable. This fee is non-refundable and payable, per child, each year.

Cancellation of Enrolment: When you enrol in Private Tuition Lessons or Group Classes at BTR, commitment for a full term/semester is essential. Cancellation of enrolment may be done at the end of a school term/semester. A month’s notice in writing is required to ensure that any monthly direct debit payments can be stopped in time to avoid any additional payments. Tuition refunds or credit towards future classes may be given if there are extenuating circumstances requiring withdrawal from classes. All refund requests will be considered on an individual basis. All enrolment bonuses will become invalid once enrolment is cancelled. If enrolment is cancelled due to reasons that aren’t covered in our extenuating circumstances prior to the end of the school term, tuition fees are still payable for this time. Please note, if for unforeseen circumstances you are unable to commit to the full 12 months, a refund may be given. However, please note that an adjustment will be made for the discount and registration fee waivered as a result of not attending for the full 12 months.

Extenuating or Unforeseen Circumstances Include: Lessons may be cancelled or placed on hold for a maximum period of 1 month if the following circumstances were to occur.

  • Change in financial circumstances
  • Loss of family member
  • An injury that prevents the student attending lessons for a pro-longed period of time

Cancellation of Classes: If you are unable to attend a class at BTR, simply notify us prior to the class by calling BTR Performing Arts Academy on 4151 4144 or mobile 0422 432 097. When available, a make up lesson or workshop will be offered. No refund will be given for classes missed. However, in the case of an emergency, circumstances will be assessed on an individual basis.

Forgot your lesson: In the instance where a student has not attended a class and notification was not given prior to the lesson, this class will be forfeited. Teachers are not required to offer a make up lesson/workshop in this instance and no refund/credit will be given.

Teacher/Educator Cancellations: If your teacher/educator cancels a class, a make up lesson/workshop will be scheduled or a credit will be given for the missed class. This will be credited to your bank account.

School Holidays: BTR Performing Arts Academy is closed for school holidays. Excluding school holiday workshops.

Public Holidays: BTR Performing Arts Academy is closed on Public Holidays.

Pupil Free Days: BTR Performing Arts Academy is open on Pupil Free Days. Therefore, attendance at lessons on these days is required.

Private Lesson Attendance: Students are required to arrive 5 minutes prior to the commencement of their lesson and are required to bring their music books, communication book and instrument (where applicable). Students who consistently attend lessons without the required lesson materials will be asked to supply the required books within a given time. A letter requesting the re-purchase of these books will be emailed to you and you will have 21 days to purchase/supply the correct books. If the required materials haven’t been purchased or ordered in this time, you will be notified that your child’s tuition will be at risk of being suspended. A further 7 days will be given for you to purchase the required books before your child’s lessons will be suspended indefinitely. Please note, your lesson time will then be offered to students on the waiting list.

Home Practice: This is an essential part to private lesson tuition. If students consistently attend lessons without home practice, an email will be sent addressing this situation. If this continues for a further 21 days you will receive an email regarding your child’s risk of having lessons suspended. After a further 21 days without showing any signs of improvement your child’s enrolment will be suspended and their lesson time offered to students on the waiting list.

Kindermusik Lesson Attendance: Kindermusik students are required to arrive 5 minutes before the commencement of their class for ‘Early Arrival Activities’. These activities are designed to develop social interaction for your child.

Kindermusik Class Policy: As these classes are age appropriate, only the enrolled child and parent/caregiver are to attend these classes. If you would like another family member or friend to attend class, please call BTR prior to your class to check availability.

Group Class Attendance: Students are required to arrive 5 minutes before the commencement of their class. This is to ensure that their class commences on time and the full lesson time is received.

Group Class Policy: As these classes are age appropriate, only the enrolled child may attend these classes.

Student Illness Policy: To protect our students and staff. Please do not bring your child to class if:

  • They have had a fever in the past 24 hours prior to their lesson.
  • They have had vomiting or diarrhea 24 hours prior to their lesson.
  • They are showing symptoms of a flu or virus 24 hours prior to their lesson.

If notice is given prior to 3.30pm on the day of their lesson due to illness then a make up lesson will be recorded and offered when or if time permits.

Student Policy: Students enrolled in classes at BTR Performing Arts Academy are required to abide by the following terms and conditions.

  • All students under the age of 12 attending classes must be accompanied by a parent or guardian to and from the reception area and signed in and out of the visitor’s attendance book on each occasion.
  • Students will be courteous and respectful to teachers and fellow students.
  • Students will not steal or miss use property belonging to BTR Performing Arts Academy or fellow students.
  • Students will demonstrate appropriate behaviour while in the studios and when representing BTR at examinations, competitions or performances.
  • Students will report all incidents or complaints to their teacher, Eunice Beyer or Amanda Roche.

Any students not abiding by these terms and conditions may be at risk of having their enrolment terminated. Any instances will be notified to you the parent/caregiver via email. Students will then be given 21 days to demonstrate an improvement in the appropriate area. If there is no improvement or more than 3 notifications of inappropriate behaviour or attitude have been issued then the students enrolment will be terminated.
